Spacing within in-text math, and specifically around math operators, is a very common issue that can lead to very awkward looking pages. Space must be used for all of the operators, for consistent display of math operators on the PDF. If spacing is not used, then spacing in the PDFs will not be regular, and with articles with a lot of math it will almost always be the case that the PDF will then have varying spacing.

Authors will not even always be consistent in their usage within a paper. To make it efficient and simpler for everyone, we always recommend defining the spacing and making it part of a “pre-editing” tool.

At E-Edit, we developed a tool that defines math operators and allows us to insert standard spacing. This allows a copyeditor to be sure that spacing in mathematics is not something they need to toil over. Below is an illustrative sample:

Spacing rules such as these save time and increase the accuracy of the work of our copyeditors. They also can be applied to many other possible “pre-edit” tasks. We recommend that publishers understand the rules they need for their content, and work with someone who can provide custom capabilities to insert automation into editing.

It is common to see different fonts used for the main body, headings, photo captions, sidebars, and other elements. We have also often seen tables with three or more different fonts as part of their design. Many people do not realize the effect that the number of fonts has on PDF files. Adding a single font to a PDF document may increase file size by 400-600KB.

It is important to remember that fully embedding fonts is now the standard to assure the best print quality. Many fonts and the resulting larger files will cause the printer processing to be slowed, particularly for users printing in shared print queues. We recommend designs that utilize two or three different fonts at most, and that restrict use of the many variants of each font. We can offer a breakdown of current designs and suggestions on how to update designs with fewer and more modern fonts.

A common issue we see concerns a set of articles or chapters that are in a section of a journal or book, where only first article will have a section head actually displayed (in some cases there is a separate section introduction, but this will then be the only item that has the section heading in its print version).

We want to be sure to tag the XML for all articles or chapters in a section correctly. We recommend our publishers do the following:

1. Always include a breakdown of sections and content within the sections. If this can come as a formal “contents” listing, that is helpful. But even without that, be sure to note articles that are parts of a section.
2. If possible, utilize the section heading in your page design. It is still easier for content to be tagged correctly if the displayed content has the section heading. Places it can be displayed include as a small header on the opening page, or as part of one of the “running heads” that are present on pages throughout the article.
3. Have a standard within your XML tagging guidelines to handle content in a section where no label on the displayed content is needed. We can often recommend a simple optional element that can be utilized.

It is laborious, time consuming, and less than 100% accurate for a copyeditor to cross check the reference citation and the reference list. E-Edit’s reference linking technology eases this process by finding the missing citations and missing references in a simple way. We also provide automatically inserted author queries for missing references/citations.

A larger issue with automated checking supplemented by a strong copyeditor are inconsistent references and incomplete information. The range of what is missing is wide and includes:

1. Authors and Editors (particularly for technical reports or non-journal content)
2. Publication Dates (now more commonly omitted with online-only journals)
3. Publisher Details (which can make it difficult to find the content)
4. DOIs (unfortunately these are items that are often incomplete when pasted into manuscripts)

Automated tools can identify lots of potentially missing information, but a quality copyeditor who will double-check the “hits” of these tools can be a huge help to a publisher. By doing this proactively, we limit E-Edit’s queries to authors, asking only for confirmation on updates we can make, and asking for new details only when there is real ambiguity.
